Container Loading Supervision
Professional third-party container loading supervision company
Container loading supervision involves inspections conducted at the production plant warehouse or at the carrier's facilities. First, inspectors check the quality and quantity of goods to be shipped against the customer's order, corresponding product quality requirements, and packing list to ensure that products of acceptable quality and quantity are loaded correctly. Then, inspectors supervise the entire loading process to ensure the container is in good condition and that the loading quantity and method are correct. Container loading supervision helps you ensure that the delivered products and quantities are correct before payment.
Container loading supervision covers the following aspects:
Record weather conditions;
Container arrival time;
Inspect the inside and outside of the container;
Is it damaged, damp, or has a peculiar odor?
Product quantity and packaging condition;
Random sampling quality inspection of products;
Supervise the entire container loading process to minimize damage and maximize container space utilization;
Seal the container and record the seal number and container departure time;
Benefits of container loading supervision:
1. Ensure the quantity of goods;
2. Ensure the container environment is suitable for transportation, including humidity and odor control;
3. Check the packaging and packing condition of the goods to reduce damage to the goods during transportation due to improper packaging or placement;
4. Randomly check the quality of goods inside the packaging boxes;
5. Maximize space utilization and save costs;
6. Prevent the factory or freight forwarder from switching the goods midway.
Container loading supervision process:
1. Based on our professional experience, we will develop a container loading plan:
The volume of the container, the types and quantities of goods to be packed in each container, and the nature of the goods (volume - if not readily available, you need to measure it yourself, weight - measure it, pressure resistance, whether it is fragile, etc.).
Note: When calculating the container loading plan, the balance of the container should be considered (the weight should be evenly distributed). This is also for the safety of the driver on the road. It is best to place goods that are easy to pass through customs at the container door to reduce unnecessary trouble.
2. Have all the goods been prepared and prepared?
Confirm with the customer which goods are ready and which are being prepared, and keep track of any incomplete goods (learn from past experience; if even one item is missing, loading cannot proceed and must be suspended).
3. Related form and document operations and items/equipment to carry:
Container loading plan, loading list, container weight – specify which documents need to be in both Chinese and English, and the format must be correct for customs declaration; Loading record sheet (quantity required, length appropriate); essential items to bring: camera or mobile phone (fully charged), ruler, approximate volume measurement tool, pen, and table; Sun/rain protection preparations (sunscreen, hat, long-sleeved clothing, preferably black for durability; flat shoes).
4. Arrange the loading plan in advance:
Since the client entrusts everything to us, we must take full responsibility. With our professional experience, we will confirm the booking with the client in advance, book space with the shipping company in advance, wait for the SO to be released as soon as possible, arrange the number of trucks needed, the weight of the cargo in each container, whether to arrange high-horsepower or low-horsepower trucks, when the trucks will arrive, what time and hour the loading can start, how many days the loading will take, and the number of containers loaded each day.
5. Attitude, mood, and weather forecast:
Ensure the weather is suitable for the day of container loading and take appropriate preventative measures.
Prioritize the first vehicle!
The first truck serves as a demonstration. Based on the initial container loading plan, adjustments are made according to the actual loading situation, and the adjustment process is recorded to arrive at a new container loading plan (photos may be taken).
Inpector's duties: meticulousness and caution.
① Before loading, familiarize yourself with the types and quantities of goods to be loaded into each container, and the loading plan.
② Before loading the container, check the placement and quantity of the goods. If any goods are missing, contact the warehouse to prepare them in a timely manner.
③ The recorders work together: one person is on the truck to guide the loading of the container (placing goods in place, handling them gently, not stepping on them, etc.) and tells the forklift what the next item is; the other person is on the ground to guide the forklift in loading!
④ Record keepers must check the goods: variety, quantity, and verify everything before loading them into the container.
⑤ The handwriting is clear and the recorded data is legible---easy to operate during statistics (variety, quantity)
⑥ From loading to container completion, it is best to stick with one truck and not change it at will, and you should not stop recording the work at any time---to see it through to the end!
⑦ Take photos: It is best to take photos continuously when the container is closed (so that the photos can be retrieved later). The photos must be clear, including the license plate, container number, key number, and the container being closed (door open, half open, and door closed).
⑧ The types and quantities of items to be packed in the container must be calculated accurately to ensure that all types are available and the quantities are sufficient.
⑨ The record sheet should include: container number, license plate number (preferably the first and last two digits), key number, container completion time, vehicle departure time, and driver's phone number.
⑩ Obtain the receipt from the driver and verify it against the information you recorded (as mentioned above).
Expediting delivery:
① Before and during container loading, promptly inquire with customers about any unloaded goods and urge them to expedite the loading process to prevent overdue or overnight charges.
② Instruct the forklift driver on which goods to load during container loading (tell the forklift driver which container/truck needs to be loaded with which goods).
③ The inspector records each container and is responsible for numbering each vehicle/container.
After loading into the container
1. Photo organization:
The order must be clearly indicated, and the pictures must be correct. You can check them with the shipping document.
2. Container List - Customs Declaration Documents:
① The container loading record has been checked multiple times: quantity, variety
② Correct format: simple and clear.
③ Contents: What types of goods are in each container, the quantity of each type, and the total quantity of goods; the total quantity of each type in all containers.
